Measure R Equipment Use

The Town owns event equipment purchased by Measure R Funds that is available for public use.  The Recreation Commission has approved the use of this equipment for any Recreation/Trails/Park Event producer hosting an event in and around Mammoth Lakes.

The procedure for equipment use is much like the existing Facility Rental Agreement that requires an applicant to complete the Measure R Equipment Use Form and present it at the Recreation Department office with a $100 deposit for review and approval.  Staff will then coordinate with the applicant on the collection and return of the Measure R equipment with the assistance of Parks Superintendent Dennis Rottner. 

All Measure R equipment must be returned to the Town within 3-days after the event in the same condition (including filling up the gas tanks in the generators) in which it was lent.  Your organization is responsible for any damage to the equipment. Town representatives will inspect the equipment upon return for functionality and cleanliness and advise the user of any anticipated or potential fees.

The Timing equipment requires specialized training with A-Plus Certified which needs to be coordinated with the event organizer.  In regards to the other event equipment, staff will provide the user with verbal and/or printed instructions for use.

Prioritization of Equipment Use

The majority of the current event equipment was purchased by ‘Mammoth Trails’ to enhance the recreation experience for their specific events, including the use by other trails/recreation events for enhanced event production.  Examples include: Footloose Freedom Mile, June Lake Triathlon, Winter Biathlon, High Sierra Fall Century and the Charthouse/Footloose Freedom Mile. 

The Recreation Commission has prioritized the use of Measure R equipment to an event organizer in the following order:

  1. Mammoth Trails Charter Members who submit a Special Event Permit Application with the TOML.
  2. Recreation/Trails/Park Event Producers with an existing calendared event and submit a Special Event Permit Application with the TOML.
  3. Recreation/Trails/Park Event Producers with a new calendared event and submit a Special Event Permit Application with the TOML.
  4. All other requests will be considered on a case-by-case by the Recreation Commission and/or the Recreation Department.

 

The obligation that event producers complete a Special Event Permit Application requires that the event has the appropriate insurance requirements, is routed throughout the Town’ public safety / public works departments and that the Town can provide oversight of the event.

  • Honeywell 5500w Generator** for Arch & P/A system ($1,000) - must provide extension cord
  • Honeywell 2000w Generator** for Timing system & computer ($739) - must provide extension cord
  • 20 Biathlon specific anti-slide snow shooting Mats ($5,758) - Exclusive use for Biathlon events only
  • 10 x 48” non reflective orange race signs & Dynalock screwlock sign holders ($2,026) 

As additional equipment is purchased via Measure R, it will be added to the Application Use Form.

Download, complete and submit the Measure R Equipment Use Form to the Recreation Department, located in the Minaret Village Mall above Giovanni's at least 14-days prior to the event.
